Position Summary

Based at Columbia University with operations in more than 30 countries, ICAP is a leader in global public health, internationally known for tackling the world’s toughest health challenges—from HIV to tuberculosis, from malaria to maternal and child health, and the growing problem of non-communicable diseases, and most recently, the COVID-19 pandemic.

Reporting to the Director, Human Resources, the Global HR Coordinator supports the day-to-day operations of the Human Resources Unit assisting with the implementation of organizational initiatives, policies, and programs that support business objectives.

Responsibilities

New York

  • Provide recruitment and onboarding support to Human Resources Generalists including the management of job postings, short listing of candidates, scheduling of interviews and preparation for new hires’ first day of employment
  • Prepare new hire orientation packets and electronic and paper employee files.  Ensure supporting documentation for employee transitions (eg. salary adjustments, promotions, leave, separations) are complete, and filed timely and appropriately.
  • Assist with the preparation, tracking and submission of NY payrolls including allowance payments in accordance with federal and state laws as well as University policies
  • Track and submit invoices from vendors to Finance Unit for payment and ensure that they are charged to the appropriate accounts
  • Ensure employees’ travel on behalf of ICAP is registered with emergency evacuation provider
  • Assist with planning and execution of events hosted by Human Resources Unit
  • Manage Unit calendar and assist with scheduling HR related events

Country Offices

  • Research benefits offerings to support the development of competitive and comprehensive benefits packages
  • Support Director, HR and Global Payroll and Benefits Officer in reviewing and completing salary and benefits surveys
  • Assist with the review of country office payrolls as needed
  • Collect and compile employee metrics
  • Provide recruitment support to Global HR practitioners

Additional Duties

  • Ensure ICAP employees have access to and are adequately trained on HR systems; assist with troubleshooting as necessary
  • Consistently and accurately update HR systems and HR pages on ICAP’s various platforms
  • Prepare quarterly and monthly internal HR newsletters
  • Support the effective management of vendor relationships
  • Maintains absolute confidentiality and sensitivity in all HR-related matters and escalates employee relations matters to the attention of the Director, HR in a timely fashion
  • Collaborate with members of the HR Unit to complete special projects 
  • Actively participate in developing HR Unit goals, objectives, and systems
  • Assist with other duties as assigned

Minimum Qualifications

  • Bachelor’s Degree or equivalent in education and experience
  • 2+ years’ experience in human resources or relevant field
  • Demonstrated experience working within a team and independently with minimal supervision
  • Ability to prioritize work related demands and meet deadlines while working under pressure
  • High attention to detail, organized, and reliable with a proactive approach to problem solving
  • Ability to develop and maintain positive relationships at all levels of the organization and within other departments at Columbia University
  • Customer service oriented
  • High level and effective interpersonal and communication skills both oral and written
  • Demonstrated proficiency in the use of Microsoft Office Suite (especially Word, Excel and PowerPoint) and ability to quickly learn new software

Preferred Qualifications

  • Knowledge of Columbia University HR-related systems or other common HRIS systems or platforms
  • 1+ years’ HR experience with nonprofits or international organizations

Other Requirements

  • Less than 10% travel domestic or international travel may be required
