Description
The Senior Operations Officer will play a vital role in supporting the Chief Operating Officer (COO) by overseeing and streamlining various operational, administrative, HR, and compliance functions within the organization. This position requires exceptional organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. The Senior Operations Officer will have a direct impact on the efficiency and effectiveness of the organization’s operations, ensuring smooth administrative processes, compliance with regulations, and seamless HR support. The role requires a proactive and resourceful individual who can handle diverse responsibilities and provide valuable support to the COO and the organization as a whole. Candidates must be based in the Washington D.C. metropolitan area.
Essential/Primary functions
HR Support:
- Support HR functions as requested.
Compliance Management:
- Stay up to date and conduct research on regulatory requirements under 2 CFR 200, the FAR and industry best practices with relevant regulations and laws related to the organization’s operations.
- Assist in the development, review, and implementation of compliance documentation, including policies, procedures, and manuals for compliance with 2 CFR 200 and the FAR compliance policies and procedures.
- Conduct periodic spot checks and audits to ensure compliance and identify areas for improvement and potential non-compliance and prepare a report.
- Provide support on inventory management.
- Assist in updating Excel trackers for compliance and contracts.
Operations Management:
- Streamline operational processes to enhance efficiency and productivity.
- Collaborate with different departments to identify operational bottlenecks and develop solutions.
- Monitor key performance indicators (KPIs) and provide regular reports to the COO.
- Complete operational credit card reports, including the IT credit card.
- Ensure POA Home Office equipment is running properly and supplies are stocked, and help manage repairs/renovations.
Administrative Support/Project Coordination:
- Assist in planning and executing special projects as assigned by the COO.
- Coordinate cross-functional teams and ensure timely completion of project deliverables.
- Track project progress and report status updates to the COO.
- Coding Admin invoices in BILL.
- Coding monthly IT credit card.
- Sort, and send out mail.
Qualifications and Minimum Requirements
- Bachelor’s degree in business administration, management, or a related field (or equivalent experience).
- 4-7 years proven experience in operations management, HR, compliance, or a related role.
- Strong knowledge of HR practices, employment laws, and compliance requirements.
- Excellent organizational and multitasking abilities, with a keen attention to detail.
- Proficiency in using productivity tools and software for scheduling, document management, and reporting.
- Exceptional communication skills, both written and verbal.
- Ability to work independently, prioritize tasks, and meet deadlines.
- Strong problem-solving and analytical skills.
- Demonstrated ability to maintain confidentiality and handle sensitive information.
