Job Summary:
This position is to effectively support the administration and the financial management of various global thematic and cross-cutting programs (Mitigation Hierarchy, Commodities, REDD+, Conservation Finance, Forest for Life, Trillion Trees, Climate Adaptation Fund) under the Forests and Climate Change team and the Markets team. In close collaboration with the Business and Grants Manager, the position serves as a facilitator between team members and other departments within WCS, including but not limited to the Accounting, Payroll, Purchasing, Office of General Counsel (OGC), Human Resources (HR), and IT. 

Major Responsibilities:

  • Provide guidance to team members on procurement of services, consultants, and office equipment, and assist in the preparation of contracts and amendments.
  • Conduct salary analyses and provide regular updates on time and effort reporting to the Business and Grants Manager and team members.
  • Liaise with other departments across WCS including Purchasing, OGC, HR, and IT, to ensure compliance, assist with requests, prepare purchase orders, and resolve any issues.
  • Ensure timely payment of sub-awardees and contractors by tracking deadlines, reviewing invoices, resolving billing issues, and completing payment requests.
  • Review accounting transactions, identify errors and discrepancies to ensure quality control.
  • Coordinate with accounting and payroll teams to complete accounting adjustments and assist the Business and Grants Manager in closing grants and with the fiscal year-end requests.
  • Prepare and review reimbursement requests for program staff, assist with the management of corporate credit card expenses, and ensure compliance with regulations (internal and donor-related) for expenditure and record-keeping.
  • Support the Business and Grants Manager in business process mapping and assist in the improvement of standard procedures and control of workflows.
  • Maintain administrative files and databases, including contracts, monthly salary analysis, payment requests, accounting adjustments, to ensure proper document management.
  • Assist in compiling supporting documents and responses to audits and donors’ requests.
  • Regularly meet with administrative staff across WCS, including other programs in Global Operations, to coordinate administrative processes.

Job Qualifications:

  • Bachelor’s degree in Business Administration or a similar field.
  • 3-5 years of experience in administrative and finance role.
  • Detail-oriented with excellent organizational skills, including responsiveness to multiple, simultaneous projects and demands.
  • Ability to set and follow priorities and meet deadlines.
  • Ability to communicate well with a globally located and culturally diverse team.
  • Ability to work independently and without daily instruction and monitoring.
  • Basic knowledge of accounting and procurement.

Preferred Qualifications:

  • Experience with non-profit administration.
  • Experience with government grants (USG, European Governments).
  • Experience with major financial management systems (SAP or other ERP system).
